Club function
A club function is a function in the board, committee, or a charge of a person in the club or district.
Example: President, secretary, program manager, committee member, etc.
Role
A role is an administrative task in a club or district.
Example: Unit life administrator, Finance, Member administrator, Unit Admin (all rights), Website user, etc.
Rights
A right is an administrative function for activities in Polaris.
Example: Newsletters and emails, Calendar, Documents, Projects, Finances, Administration of the Boards and Committees, etc.
The club function and role are not linked. With the change of persons in the board or in a committee, the leaving or joining persons do not automatically lose or gain their roles. The CICO and / or the secretary of the club must ensure that the assignment of the roles to the persons corresponds to their respective club functions. Only through this decoupling can new incumbents exercise their role before the start of their term and thus ensure a smooth handover of office.
The relationship between roles and rights is complicated, because Polaris areas have interdependencies, such as calendar and emails.
Club functions
The club functions are represented in the board or in the committees. Club-specific board functions must be defined beforehand in the menu Club parameters > Board functions. The Position No. field defines the order of the listing on the website.
Board
With the filter the club year can be set. With the "+ Add" button the board functions are entered and the staffing is defined. In the actions column, the settings can be changed or deleted. If the composition of the board has not yet been defined for a new club year, the option to copy the board from the previous year is displayed.
NOTE
A club function on the board can only be assigned to active members of the own club.
Committees
Performs similarly to the board. With the filter, the club year can be set. With the "+ Create" button own club committees can be entered and filled. However, we strongly recommend using the official committee types recommended by Rotary International whenever possible. In the actions column, the composition or the order of the display can be changed. If the composition of the committees has not yet been defined for a new club year, the option to copy all committees and their members from the previous year is displayed as a button (similar to the function in the board).
NOTE
Any member of a club (Active member, Guest, Other contact) can be assigned to a committee.
