Frequently Asked Questions about club life
Where can I find the events?
To access events, click on the following symbol in the top right-hand corner of your club's home page.
How do I transfer the event date to my calendar?
In the overview or in the details of the event you will find a “Calendar plus" symbol to the right of the date and time. When you click, a calendar file (.ics) will be downloaded, which you can then open by double-clicking to add it to your calendar.
Can I subscribe to all event dates in my calendar?
No, sadly this cannot be done in Polaris, as the visibility of specific events may vary significantly from one instance to another. The different functions of a member in different clubs, districts (active member, guest, ...) also complicate technical implementation. This variability makes it technically unfeasible to implement such a feature reliably. The inherent differences in how events are displayed and accessed can lead to inconsistencies that would ultimately hinder the user experience. Therefore, due to these technical limitations and the unpredictable nature of event visibility, it is not possible to achieve the desired outcome within the current framework of Polaris.
There are also views that only those events for which one has registered should be entered in one's own calendar.
Who is the sender of the emails and newsletters and how can I change it?
All Polaris emails, newsletters and other messages are always sent from a single and central e-mail address no-reply@polaris.rotary.xx – xx is the domain of a given country, e.g. .at, .be, .ch, .es, .fr, ...
NOTE
This email address cannot be changed!
It is possible to change the sender name that appears before the email address. Typically, the name of the club or district can be displayed there.
Example: “RC Aarau <no-reply@polaris.rotary.ch>”
ATTENTION
The sender name must not contain any special characters!
If messages are rejected as SPAM by a recipient's inbox, he/she must configure this Polaris email address accordingly (trusted sender) in his/her own mailbox.
It is also possible to set the email address to which a reply to this message will be sent. Typically, this is the email address of the club or that of the person who sent the message. This is the only address you will see when you post a reply.

Default values in the club parameters
The “Reply to address” and the “Displayed sender name” can be set as default in the Club parameters > Other parameters > E-Mails, Newsletters and serial letters. This information can be overwritten when sending the message.
Why doesn't forwarding Polaris emails and newsletters work well?
When you forward an email or newsletter from Polaris to other people, you may receive their complains about the readability of the forwarded message. Possibly these recipients will get partially distorted messages (like the example) which is hard to read and parts of it (links) are missing.

Distorted message
This is not caused by Polaris!
It is your SPAM or Virus software which scans your outgoing mail traffic and is changing the message. Depending on the product you are using and on its configuration, images, links, styles ad other elements may be removed.
Also the mail server of your provider or your company may perform additional checks of the outgoing emails, filter out certain elements or add signatures or footers with legal notices. As result, the message you are sending is not what the recipient will get!
The solution of this problem is rather simple. Instead of forwarding the message you should send the original message to all recipients you need. You should create in Polaris a recipient group of those you want to sent your club communication very often or you enter them ad-hoc as individual recipients before you send that message from Polaris.
ATTENTION
Regardless if you forward a message or enhance the recipient list in Polaris you should consider GDPR, because you may distribute information outside the club that contains personal data, e.g. reports, etc.
Who sees the presence of all club members?
All administrators with the right to manage members can see the presence of all club members.
