Why entering a PIN is essential for security?
Two-Factor Authentication (2FA) adds an extra layer of security to your accounts by requiring a second form of verification, such as a PIN. This additional step ensures that even if your password is compromised, unauthorized access is prevented. By entering your PIN, you significantly reduce the risk of fraud, identity theft, and unauthorized logins, keeping your sensitive data safe.
2FA is mandatory for users who have the authority to handle personal data in Polaris. This indicates that if the user holds one of the following positions in any of their units (home or guest units):
Polaris Admin
Admin (all rights) with Units below with or without export
Unit Admin (all rights)
Member administrator
Enter PIN
The entry of the PIN is necessary after the user has logged in by providing their username and password. The user will be prompted to input a PIN when accessing the "POLARIS ADMIN" menu (administration, backend). The specific unit to which he transitions in the backend, or in which he holds a role, is irrelevant.
The PIN is created by Polaris and delivered to the user via email to the address used for logging in.
NOTE
After logging out, the PIN is no longer valid.
The PIN entry is not required when the user gets into Polaris via the "stay connected" feature and his last login date is no longer then one week in the past. The stay-connected feature is based on cookies saved on the particular user device which can be considered as his own property. Admins using Polaris very often will not be annoyed by the PIN entry.
Using Polaris on different devices does not require to enter the PIN on each device. The PIN is stored in the database and is valid for any device within the time period of one week.
