Recording a compensation (point of presence)
Basics
When the club being visited does not record attendance with Polaris or does not finalize its events to confirm presence, or if the club is located in a different country, the member must ask for a printed guest card.
NOTE
It is the responsibility of the secretary, the member data administrator, or the CICO of the respective club to manually input any compensation. See examples below.
For further information, see Attendance and Presence.
Recording a compensation
When a club that is visited does not log attendance through Polaris, like a club from another country, the member asks this club for a printed attendance card and brings it back to the secretary of its own club. The attendance points for such participation must be entered manually as compensation in the menu Members > Active members > (choose member) > Attendance and compensation > “+ Add compensation”. This is also the location where volunteer work can earn attendance points. Furthermore, this page allows an administrator to confirm all attendance points for a member.
Finally, this section is where an administrator can review all of a member's attendance points prior to entering compensation, ensuring that no duplicates are created.
One of the three roles "Presence administration", "Member administrator" or "Unit Admin (all rights)" is required for recording a compensation.
Examples
Note about the various clubs, Polaris instances:
Club Basel (Home Club of member Michael in Polaris Switzerland)
Club Lausanne (Club in Polaris Switzerland)
Club Salzburg (Club in Polaris Austria, not in Polaris Switzerland)
Here are five instances of various participations in events and projects for enhanced clarity:
Example 1 - Participation in their own club Basel
Michael is participating in an event at his home club in Basel.
The secretary from Club Basel marks Michael as having attended.
Example 2 - Participation in another club (Polaris Switzerland)
Michael is attending an event at the Club Lausanne.
The secretary from Club Lausanne either scans Michael's QR code with his smartphone or adds him manually as a participant in the event.
The secretary from his Basel Club has no responsibilities regarding this!
Example 3 - Participation in another club (NOT Polaris Switzerland)
Michael is participating in an event at the Salzburg club and informs the secretary from his own Basel club about it.
The secretary from the Salzburg club adds Michael as a non-member to the event (this is solely for documentation purposes) and gives him a printed guest card.
The secretary from his Basel club records a compensation for Michael, based on the printed guest card received in the Salzburg club: Members > Active members > (Select member) > Tab "Attendance and compensation" > "+ Add compensation"
Example 4 - Participation, contribution to a project, or other events that are not documented as occurrences in Polaris will result in compensation.
Michael is participating in a club project at his own club in Basel.
The secretary from his own club in Basel records a compensation for Michael: Members > Active members > (choose member) > Attendance and compensation > “+ Add compensation”
Example 5 - Participation in a district event (Polaris Switzerland)
Michael is attending a district event.
The organizing team for the district event either scans Michael's QR code with their smartphone or adds him manually as a participant in the event.
The secretary at Club Basel has no responsibilities regarding this!
